Booking Terms & Conditions / Cancellation Policy
These Terms & Conditions ("Terms") govern all tour, trip and travel bookings made with YatraHikes ("the Company", "we", "us"). By making a booking or paying any amount towards a tour, the Customer ("Traveller", "you") confirms that these Terms have been read, understood and accepted, on their own behalf and on behalf of every person included in the booking.
1. Booking and Confirmation
A booking is confirmed only after receipt of the applicable advance and issue of a written booking confirmation by the Company. Verbal or WhatsApp assurances alone do not constitute confirmation.
The Traveller must provide accurate name, age, contact number, ID proof and emergency contact details at the time of booking. The Company is not responsible for losses arising from incorrect details supplied by the Traveller.
Seats, rooms and inclusions are allotted on availability and are subject to the terms of the respective transporters, hotels and third-party suppliers.
2. Payment Terms
An advance booking amount of Rs. 2,000 per person is payable at the time of booking to confirm the seat. The remaining balance is payable at the time of pick-up, before boarding.
If the balance is not paid at the time of pick-up, the Company reserves the right to refuse boarding and to treat the booking as cancelled by the Traveller, in which case the advance booking amount is forfeited and the cancellation charges in Clause 4 apply.
All payments must be made to the Company's official account only. Payments made to any individual or unofficial account are not the Company's responsibility.
3. What the Tour Price Does Not Include
Unless expressly stated in the itinerary, the tour price excludes: personal expenses, medical or hospitalisation costs, travel insurance, entry tickets and activity charges not listed, meals not specified, any expense arising from delay, illness, accident, roadblock, protest, weather, or any circumstance beyond the Company’s control, and any cost of the Traveller’s early departure from the tour.
4. Cancellation by the Traveller
All cancellations must be communicated in writing (email or WhatsApp on the Company’s official number). The effective date of cancellation is the date the written request is received during working hours. Charges are calculated on the total tour cost as follows:

Note: Where the actual non-refundable cost already incurred by the Company (transport tickets, hotel bookings, permits, activity bookings) exceeds the slab above, the actual cost will apply. Supporting invoices will be shared with the Traveller on request.
5. Early Exit, Mid-Tour Departure and Unused Services
This clause applies where a Traveller leaves the tour after it has commenced, for any reason whatsoever, including personal, medical or family reasons.
No refund is payable for any unused portion of the tour — including unused travel legs, hotel nights, meals, guide services or activities — once the tour has commenced. These services are booked and paid for in advance and are non-recoverable by the Company.
The Traveller must inform the tour manager or Company representative in writing (or by signing the Early Exit Form) before leaving the group. The Company’s duty of care and responsibility for the Traveller ends at the point of departure from the group.
All costs of the Traveller’s independent onward or return journey, accommodation, medical treatment or transfers after leaving the group are borne solely by the Traveller.
Where the Company is able to recover any amount from a hotel, transporter or supplier in respect of the unused services, such recovered amount will be refunded to the Traveller. The Company does not guarantee any such recovery.
6. Medical Emergencies and Fitness to Travel
The Traveller confirms that they are medically fit to undertake the tour and must disclose, at the time of booking, any pre-existing medical condition, pregnancy, allergy, ongoing medication or mobility limitation.
The Company is not a medical service provider. In an emergency, the Company will make reasonable efforts to arrange transport to the nearest medical facility and to inform the Traveller’s emergency contact. All medical, hospital and evacuation expenses are payable by the Traveller.
A medical emergency does not by itself create an entitlement to refund of amounts already committed to third-party suppliers. Travellers are strongly advised to purchase travel insurance with trip-cancellation and medical cover, which is the appropriate route for recovery in such situations.
As a goodwill measure and entirely at the Company’s discretion, where a documented medical emergency is supported by a hospital or registered medical practitioner’s certificate, the Company may issue a credit note for the recoverable portion, valid for 12 months against any future tour. This is a concession, not a right, and cannot be claimed as cash.
